Start with the first-night hotel
Some mainland hotels still cannot register foreign passports. Book a first night in an arrival city before you optimize price or location.

Book the four things that protect your first day in China: a foreign-passport hotel, a passport-name train ticket, payment backup, and an airport to train to hotel route.

A hotel that accepts foreign passports protects the whole trip. Once the first bed is safe, book the first rail leg and the airport transfer.

Read the task guideChina train tickets are tied to passport identity. A name mismatch can turn a simple station entry into a service-desk problem.

Read the task guideThe first day should be airport, transfer, optional train, hotel. If the same-day train is tight, sleep in the arrival city and move tomorrow.
Read the task guideThe four bookings are not equally urgent, and the deadlines are not the same kind of deadline. Two of them are your own planning comfort. One is a fee boundary published by China Railway. One is a legal reporting window the hotel carries, not you.
| When | Booking | Why that timing |
|---|---|---|
| Any time before you fly | Message the hotel about foreign-passport registration | A property that cannot register a foreign guest is worth finding out about weeks ahead, not at the front desk with luggage. Ask whether the hotel can register a guest checking in with a foreign passport, and keep the reply. |
| Eight days or more before departure | Book or change the rail leg | China Railway's published refund schedule charges no service fee eight days or more before departure, then 5% more than 48 hours out, 10% between 48 and 24 hours, and 20% under 24 hours, with a minimum fee of RMB 2. That is a published schedule rather than a promise, so re-check it before you rely on it. |
| Before you land | Reserve the first long-distance rail leg | Reserving ahead means you are not solving passport verification at a station counter while carrying luggage. It also fixes the one leg that most first-day plans depend on. |
| At check-in | Nothing to book. Hand over the passport. | Accommodation registration is the hotel's duty, not yours. Hotels must register overseas guests and report the accommodation registration form to the local public security organ within 24 hours. Expect a few minutes at the desk and keep your entry stamp and booking confirmation within reach. |
| If your ticket says it is not verified yet | Station ticket counter, with the original passport | 12306 shows a passport verification state. While a foreign-passport passenger is still to be verified, you take the original passport used for the booking to a station counter. Handle it on arrival rather than on departure morning. |
Family name, given name, passport number, nationality, and birth date. China train tickets are identity-bound, so a shortened middle name or a transposed date becomes a counter problem later. Copy the fields from the passport page rather than typing from memory.
A confirmed arrival-city hotel is what makes the rest of the plan optional. With a bed secured, a delayed flight or a missed connection changes your evening, not your trip.
China Railway names 12306.cn and the 12306 mobile app as its own booking systems and states that it will not handle ticketing problems that happened on other websites. Booking in the official system first avoids having to move an existing record.
Save the e-ticket, the order number, the Chinese station names, the departure time, and a photo of the passport page. Station Wi-Fi and roaming can both be unreliable underground, which is exactly where you will want to check something.
Do not wait for boarding. Contact the booking platform or the station service desk as early as you can, because a name or passport-number mismatch can block station entry or require the ticket to be corrected before travel.
Ask whether another branch of the same chain can register foreign guests, contact your booking platform support, and move to a larger hotel near a station, an airport, or a central business district. Larger properties are more likely to have the registration process in place.
This is the failure the pre-booking is meant to absorb. If the first ride and the first night are already paid for, a QR code that stops working costs you a meal rather than the day. Carry a small RMB buffer as well.
